Operator Guides

Client Portal

The client portal lets staff at Acme Corp see their company's tickets and ask for help without calling the desk. Portal users are unlimited and never billed.

Giving access

An admin or operator generates a signed access link for an existing contact. Verify the recipient before sharing it. Each link:

  • expires after 24 hours,
  • is bound to your tenant, the company, the contact, and their email, and
  • stops working if the contact's email changes or the portal signing secret is rotated.

The portal removes the link token from the browser address after it opens. Links are expiring credentials, so treat them like one.

What clients can do

  • View their company's tickets and customer-visible conversations.
  • Reply and attach files, including after a ticket is complete, without reopening it.
  • Submit new requests.
  • Leave feedback once per resolved ticket.
  • See outage banners during a major incident.

What clients cannot do

Clients never see internal notes and never decide internal approvals. Change, billing, and resolution approvals stay with authorized operators. A separate customer authorization request lets you ask a client to authorize work without giving them operator authority.

Attachments

Portal and ticket attachments are limited to 20 files per ticket and 500 KB per file, in text, PDF, PNG, and JPEG formats. Files download rather than render as active page content.
